Refund & Cancellation Policy

Last updated: October 8, 2026

This policy explains how refunds and cancellations work for software development, design, and consulting engagements with EZ Process Solution. We do not sell an automated consumer product through this website — every engagement is a custom services project, invoiced against a written proposal or Statement of Work (“SOW”). Where a signed SOW or Client Agreement includes different or more specific terms, that signed document takes precedence over this general policy.

How engagements are billed

Projects are billed either at a fixed price per milestone or on a time-and-materials basis, as set out in your proposal or SOW. Most engagements require an upfront deposit before work begins, with the remaining balance invoiced at agreed milestones, upon completion, or monthly for ongoing retainer work.

30-day refund period

Any refund request must be submitted within 30 days of the relevant payment or invoice date. Requests made after this 30-day period will not be eligible for a refund, except where a signed SOW or Client Agreement states otherwise.

Refunds before work begins

If you cancel before any work has started, your deposit is refunded in full, less any non-recoverable payment processing fees already incurred, provided the cancellation is requested within the 30-day refund period above.

Refunds after work begins

Once work has started, fees for work already performed and delivered are non-refundable. If a project is cancelled partway through, we will invoice only for the portion of work completed to date; any amount you have prepaid beyond that point is refunded on a prorated basis, provided the refund request is made within the 30-day refund period above.

Retainers and recurring billing

For monthly retainer or support engagements, the unused portion of a prepaid billing period is refunded on a prorated basis if you cancel with proper notice. Work already completed within the current billing period is not refundable.

Cancelling a project

Either party may cancel an ongoing engagement by giving 14 days’ written notice by email. You remain responsible for payment of all work performed up to the cancellation date. Upon receipt of final payment, we will deliver all completed work product, source files, and documentation for the work performed.

Billing disputes and chargebacks

If you have a concern about an invoice or charge, please contact us first at support@ezprocesssolution.com so we can resolve it directly — most billing questions can be sorted out quickly this way. Initiating a chargeback for work that has been legitimately delivered, without first raising the issue with us, may result in a pause of ongoing services while the matter is resolved.

Exceptions

Specific refund, cancellation, or notice terms agreed in a signed proposal, Statement of Work, or Client Agreement always take precedence over this general policy.
